Who we are
Clear Space is a home staging business based in Harrogate, North Yorkshire, run as a sole trader. We are the controller of the personal information described in this notice. You can contact us about anything in it at hello@clearspaceharrogate.com.
What we collect
- Enquiries: your name, email address, phone number (if you give it), property postcode or address, the service you’re interested in, timing, and anything you write in your message.
- Referrals from estate agents: the agent’s details and the vendor’s name, contact details and property address, shared with the vendor’s agreement.
- Clients: the details above, plus key arrangements, photographs of the property taken for planning and before-and-after records, invoices and payments.
- Website: basic technical information that our web host records automatically, such as IP addresses in server logs, to keep the site secure.
Why we use it, and our lawful basis
- To reply to your enquiry and prepare a quote: because you’ve asked us to (steps before entering a contract).
- To carry out the work you’ve booked, including arranging access and collecting our furniture: to perform our contract with you.
- To keep financial records: because the law requires it (legal obligation).
- To contact a vendor referred by an estate agent, to keep the website secure, and to record anonymised results (such as days to offer) to improve our service: our legitimate interests, which we’ve balanced against your rights.
- To use photographs of your home in our marketing: only with your written permission, which you can withdraw at any time.
We don’t sell your information, and we don’t send marketing emails unless you’ve asked us to.
Who we share it with
We share personal information only where we need to: our website host and email provider, who process it on our behalf; our accountant and HMRC for tax purposes; our insurer if there’s a claim; and your estate agent where you’ve asked us to work with them. Some of our service providers may store data outside the UK; where they do, we rely on the legal safeguards UK data protection law requires.
How long we keep it
- Enquiries that don’t lead to a booking: up to 12 months.
- Client records and invoices: six years after the end of the tax year they relate to, as HMRC requires.
- Property photographs: deleted at the end of the job unless you’ve agreed we can use them.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, to ask for it to be transferred, and to withdraw consent where we rely on it. Email us and we’ll respond within one month.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first at hello@clearspaceharrogate.com. We’ll acknowledge your complaint within 30 days and tell you what we’re doing about it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

If we add website analytics in future, we’ll update this notice, explain what’s collected and give you a simple way to opt out, or ask your consent where the law requires it.
